EG Housing Corporation Meeting Minutes

The EGHC Corporation met  Saturday, February 2, 2008 at the Law Office of Jonathan B. Eadie, `93 in Farmington Hills. It was the largest EGHC meeting that I've attended in a long time. Thanks to everyone that showed up to participate, it was a great meeting!

After a thorough update from Colony President Robby Hunter, the board engaged in several discussions involving property management, leasing for 2008-09, summer renovations, finances, activities and our Capital Fundraising Initiative collections process.

We also discussed the transition that's going to take place this summer when Tom Olver steps down from his position as president, a position he's held for the past eight years.

Here's some noteworthy items from the colony report that may interest everyone:

  • The colony is working toward getting a getting a Knox Award this summer at convention in addition to the restoration of the charter.
  • As of Saturday, the colony had given out 13 bids for Spring recruitment. 12 men have accepted and there's a possibility the more bids will be given out this week. The average pledge class size for any fraternity at CMU during the Spring semester is about 7 or 8 men.
  • The colony is working on three philanthropic events for Spring semester.
  • The house is on track to hold 9 - 13 members next year, 8 have already signed leases.
  • The colony is looking to hold an Alumni/Active get together at a Tigers game this summer. The tentative date for the event is August 30th.
  • Eight members from the colony's E-board and cabinet will be attending the Keystone Regional Leadership Conference February 15-17 in Des Moines, Iowa. Chapter Counselor Greg Compton `86 and I will also be making the trip.

Flagpole Installed at 814 S. Main

Thanks to the generosity of an anonymous alumni donor, a brand-new, 25 ft. flagpole has been installed in front of the chapter house. The flagpole will be dedicated in memory of Christopher David Baker ’96 (EG 197), and a bronze plaque will be installed in the coming months to mark that dedication at the base of the flagpole. The American flag will be proudly flown in recognition and honor of those Epsilon Gamma alumni who serve or have served in the U.S. armed forces. Special thanks to Paul “Bubba” Koehn (EG 241) for managing the installation process this fall.

Housing Corporation Update - Fall 2007

The Epsilon Gamma Housing Corporation gathered on August 11, 2007 in Mt. Pleasant for their annual meeting and work weekend.

First, we debated, discussed and approved a budget for 2007-08.

Second, we expanded the Board from nine directors to 12 (keeping our quorum at five); Jon Eadie, Mike Wharton, Matt Brauer and Will Hilliker have accepted three-year terms. Charles Parker concluded his three-year term. To keep the terms staggered, Steve Grenus was placed in the two-year spot and I took the one-year spot. I’ll continue to serve as president (looking to transition out of that role next summer), Scott Sawyer will continue as vice president and Scott Nadeau will serve as Communications director. We agreed to leave the treasurer position open for now, with hopes that one of our new directors will have time/ability to step into that role.

Finally, we agreed to implement a voluntary alumni dues program that will be led by Bob Hempton and Marty Kaiser. The $30 annual contributions will help to defray costs associated with our communications program and fund the undergraduate initiation incentive program.

EG WORK WEEKEND

A collection of alums and undergraduates met in Mt. Pleasant on August 20th to make improvements to the house. Projects included landscaping, painting, and general maintenance that was not covered in the 2005 renovation project.

EGHC MEETING WRAP-UP AUGUST 20, 2005

On Saturday, August 20, the Housing Corporation met in the kitchen of the Beta House at 814 S. Main in Mt. Pleasant. Items discussed included the golf outing, Homecoming, 20th Anniversary, the EGHC Mission Statement, finances, house renovations, scholarships and a variety of other topics. After the meeting everyone got to working on the house.

IN CASE YOU MISSED IT...  (reprinted from the Epsilon Gamma Monthly E-newsletter)

Last month I mentioned that the Housing Corporation had discussed securing a loan to renovate the interior of the 814 S. Main house. As with previous EGHC meetings, I provided a link that you could click on if you wanted to read the minutes. It has been brought to my attention that many of you didn't do that, so many of you don't know what's going to be happening with the property at 814 S. Main this summer.

My philosophy about all this stuff is to briefly mention things in the monthly updates, expand the information in the printed newsletters, and provide complete information on the website - in other words, give you the option if you want to read further. Since there are some pretty big changes in store for the house during the next few months both physically and regarding policy, I'll provide expanded information in the next few monthly updates.

I'll cover some of the new "house rules" in a future edition of the E-news and For the Staunchest. For now, here's a bullet-point review of the discussions and decisions that were made by the housing corporation in April:

  • For the past six months, Phil Adler has led the Continuous Improvement Plan (CIP) committee in identifying various housing improvements to the physical structure at 814 S. Main Street. The Continuous Improvement Plan was adopted by the Housing Corporation in 2001 to ensure that our house remains the best fraternity house on campus and provides an optimum living experience for our members.
  • Three plans were presented to the Epsilon Gamma Housing Corporation board of directors during its April conference call.
  • The Board approved proposal “A” calling for extensive renovation of the first floor, including renovation of the Fireside (previously known as the “formal”) Room, the dining room, Wooglin’s den and foyer (new flooring, drywall, insulation, electrical and duct work, etc.); improvements to the guest bathroom, and a complete remodel of the kitchen. The plan also calls for a reversal of the “up” and “down” staircases, carpeting the stairways, second and third floors, and bathroom enhancements on the second and third floors. An interior doorway will be added for access to the back apt. from the main house.
  • Two bids were secured for the work from Merik Builders and Heydenburg Development. Bob Heydenburg resided in the house in the 1960s, built the addition (back apt.) along side his father and was the Corporation’s contractor during the 2002 renovation of the second floor and exterior. We worked with Bob to define the scope of the project and bring the bid in line with EGHC goals and objectives.
  • Financing was secured through Isabella Bank & Trust in the amount of $100,000 in additional construction loan funds. The Corporation’s remaining balance ($48,500) on the 2002 construction loan was included in a new $150,000 construction loan, which was approved by the loan committee. All required paperwork has been signed and submitted to the Bank.
  • Construction has begun and is slated to be completed by August 15.
  • In addition, in accordance with our goals to foster undergraduate leadership development, the board allocated up to $1,000 from the Central Michigan Chapter Fund to sponsor two undergraduates to attend the Peter F. Griener Leadership College at the Beta Theta Pi convention in Scottsdale, Arizona, this summer.  The Central Michigan Chapter fund is an endowment fund that is only to be used for academic and leadership development purposes. (This fund is not the chapter's bank account.)

The next Housing Corporation meeting is scheduled to take place on August 20th in Mt. Pleasant. (See next item for more information)

EGHC CONFERENCE CALL MINUTES

On April 19, 2005 the Epsilon Gamma Housing Corporation held a conference call to discuss the Continuous Improvement Plan committee's renovation proposals for the chapter house, financing, and sponsoring undergraduates to attend Peter F. Griener Leadership College (formerly the sophomore fellow program) at the Beta Theta Pi convention in Scottsdale, Arizona, this summer.

EGHC Meeting Wrap-up

On Saturday, January 29, the Housing Corporation met in Ann Arbor for a marathon of a meeting.  It began at 9:30 in the morning and didn't end until after 2:00 p.m.  In brief, James Eschelbach has resigned as Treasurer.  Steve Grenus has been voted in as the new Treasurer.  New additions to the board include John Coe and Chris Olson, the colony president.  The main topics discussed were finances, the Golf Outing, the 20th Anniversary Banquet, revision of the corporation's by-laws, the Continuous Improvement Plan (CIP), the Capital Fundraising Initiative (CFI), house safety improvements, and plans for improvements and renovations this summer.
